Privacy Policy.

C0DEN/*ME (Codename, we, us) is a Brisbane-based custom software, automation and consulting business. This policy explains how we handle personal information through our website, enquiries, bookings, advertising and business relationships.

What we collect

We collect information you give us, such as your name, work email, phone number, business name, website, role, project needs, preferred timing and correspondence. If you book a call, we also collect your booking time and time zone. This may come through our website, email, phone or a Facebook or Instagram lead form.

Calls may use Google Meet transcription and automated notes, depending on the meeting settings. We will notify participants and obtain any consent required before recording or transcribing a meeting.

Our website and service providers may also collect your IP address, browser and device details, referring pages, pages visited and interactions. Please do not send sensitive personal information through general enquiry forms. You can contact us without identifying yourself where practical, but we need contact details to respond to an enquiry or arrange a booking.

How we use it

We use information to respond to enquiries, arrange calls, prepare proposals, deliver and support agreed services, maintain business records, protect our systems and improve our website and advertising.

Your enquiry is saved when you submit the form, even if you do not go on to select a call time.

If you submit a Facebook or Instagram lead form, we use the details to respond to the request described in that form. We only send other marketing where you have consented or the law permits it. You can unsubscribe or contact us to stop marketing at any time.

Cookies, analytics and advertising

We use cookies and similar technologies for website functions, security, analytics and advertising, including a session cookie for bookings. PostHog helps us understand visits and interactions through analytics, heatmaps and session recordings. Form inputs are masked, but visible page text, including booking-confirmation details, may appear in recordings.

We use Meta Pixel to measure visits and confirmed bookings and help evaluate our Facebook and Instagram advertising. Meta may receive page URLs, browser and device information, cookie identifiers and event information, and associate these with your Meta account. We do not include enquiry form answers or contact details in the pixel events we send.

We also use OpenAI’s measurement pixel and Conversions API to measure confirmed call bookings from our farmers page for ChatGPT advertising. Events use an event reference, page address, time and, where available, advertising click and browser identifiers. We do not manually supply names, email addresses, phone numbers or enquiry answers to OpenAI through this integration.

You can manage cookies through your browser settings and advertising preferences through Meta Ad Preferences. Blocking cookies may affect website functions and does not prevent every form of data collection. See Meta’s Privacy Policy for how Meta handles information.

Who we share it with

We share information as needed with our team and service providers for hosting, storage, email, scheduling, security, analytics and advertising. These include Google for calendar, meeting and font services, Cloudflare Turnstile for spam protection, PostHog, Meta and OpenAI. Loading fonts also sends technical request information to Google. We may disclose information to professional advisers or where required or authorised by law.

Some providers process or store information outside Australia, including in the United States. We take reasonable steps to protect information shared with providers. We do not sell your personal information.

Security and retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. No online service is completely secure. We keep information for as long as reasonably needed for the purposes above, including legal and record-keeping obligations, then take reasonable steps to delete or de-identify it.

Access, deletion and complaints

To request access, correction or deletion, email [email protected] with the subject “Privacy request” or “Data deletion request”. Include the contact details you used and what you would like us to do. Please do not send passwords or account credentials.

We may verify your identity and will explain the outcome and any lawful reason to retain information. We cannot delete information a third-party platform holds independently.

We will acknowledge privacy complaints, investigate and respond within a reasonable time. If you are dissatisfied, you can contact the Office of the Australian Information Commissioner, where applicable.
